The freeze request your policy doesn’t allow

Most freeze friction isn’t the freeze — it’s the request. Members ask for pauses your terms don’t permit: too long, too late, past the annual limit. Now staff are quoting policy from memory and negotiating over a text thread, and every exception they grant becomes tomorrow’s precedent.

Fixed: your policy is built into the form itself — notice window, duration limits, annual allowance, fee shown up front — so the request a member can submit is one you can approve. Auto-approve inside your parameters or one click, straight into Mindbody.

The cancel you never got to save

By the time a cancellation reaches you it’s a done decision — announced in whatever channel the member picked, honored on the spot because arguing feels worse than losing them.

Fixed: a cancel request routes through a save flow you control — capture the reason, offer the pause, present the plan that fits — before anything is submitted.

The card that fails in silence

A card expires, the autopay bounces — and Mindbody doesn’t text the member about it. The fix waits on staff noticing, making the awkward call, and walking the member through an update flow with enough friction that “I’ll do it later” wins.

Fixed: a failing charge texts the member automatically — one tap, a secure card form, done in 30 seconds. Most fixes happen before staff ever knew there was a problem.

Members need payment statements for insurance and employer wellness reimbursements, and answers about the occasional fee. None of it is secret — it’s just not easy: each request becomes an email to the studio and staff time assembling history.

The sale sends it — nobody at the desk does. A membership purchased in Mindbody sends the agreement to the member’s phone by text and email within seconds. A prospect’s intro pack or first booking triggers their liability waiver the same way.
Signed on a phone, in about two minutes. Key policies up front and a real drawn signature. The waiver carries the health screening, emergency contact, and a parent-or-guardian path detected from date of birth — and a flagged health condition reaches your managers in Slack and the member’s Mindbody record the moment they sign.
Unsigned doesn’t sit, and nobody tracks it. An unsigned membership agreement gets one notice a day for four days — friendly, then firmer, then a final notice with a deadline on it — by text and email. Waivers run their own track, timed around the member’s first class. Everything stops the second it’s signed.
A plan change brings its own agreement. Approve a member’s upgrade or downgrade from the hub queue, Mindbody writes the new contract — and that contract fires a fresh agreement within seconds, scoped so an older signed one doesn’t suppress it. A renewal on the same plan deliberately doesn’t, so nobody re-signs what they already signed.
A cancellation closes the paperwork too. When Mindbody reports a contract cancelled, any unsigned agreement bound to it voids itself — and if the cancel lands inside a commitment term recorded at signing, it’s flagged with the fee calculated for a manager to settle or waive.
Details entered once. The form prefills from the Mindbody profile and writes date of birth, mobile, email, and emergency contact back to it — the same record the hub reads. Sign at one location and the member is covered at the rest: a duplicate request waiting at another studio retires itself, and the signed PDF files onto their Mindbody profile and into an archive spanning every location you own.
